Data Deletion Policy

Google Play Store requires apps to provide clear instructions for users to request deletion of their data. This document outlines how users of Appening Business mobile app can request data deletion.

How to Delete Your Data

Users have three options to delete their data from Appening Business:


Option 1: Delete Account In-App (Recommended)

The fastest way to delete all your data:

Steps:

  1. Open the Appening Business app on your mobile device
  2. Tap your profile icon (top right)
  3. Tap Settings
  4. Scroll to Account section
  5. Tap Delete Account
  6. Read the warning about data deletion
  7. Type your password to confirm
  8. Tap Delete My Account Permanently

What Gets Deleted:

  • ✓ Your account and login credentials
  • ✓ All conversations and messages
  • ✓ All contacts and CRM data
  • ✓ All notes, tags, and custom fields
  • ✓ All reminders and calendar events
  • ✓ All message templates
  • ✓ All analytics and usage data
  • ✓ All device tokens (push notifications will stop)

Timeline:

  • Immediate: Account access revoked, you are logged out
  • Promptly thereafter: Data marked for deletion and no longer accessible via the Platform
  • Reasonable period: Data permanently deleted from active databases at our discretion and in accordance with our internal processes
  • Extended period: Data purged from backups as part of our routine backup rotation cycle. We make no guarantees regarding specific deletion timelines from backup systems.

Option 2: Request Deletion via Web Dashboard

If you prefer to use the web admin console:

Steps:

  1. Go to: https://admin.app-ening.com (or your admin console URL)
  2. Log in with your account credentials
  3. Click your profile icon (top right)
  4. Click Account Settings
  5. Navigate to Privacy & Security tab
  6. Scroll to Delete Account section
  7. Click Delete My Account
  8. Confirm by typing your password
  9. Click Permanently Delete

What Gets Deleted:

Same as Option 1 (all data permanently deleted).

Timeline:

Same as Option 1.


Option 3: Request Deletion via Email

If you cannot access the app or web dashboard:

Steps:

  1. Send an email to: privacy@app-ening.com
  2. Use the subject line: "Data Deletion Request"
  3. Include in your email:
    • Your full name
    • Email address associated with your account
    • Phone number (if linked to WhatsApp)
    • Reason for deletion (optional)

Sample Email:

To: privacy@app-ening.com
Subject: Data Deletion Request

Hello,

I am requesting deletion of all my data from Appening Business.

Account details:

  • Name: [Your Name]
  • Email: [your.email@example.com]
  • Phone: [+1234567890] (if applicable)

Please confirm once the deletion is complete.

Thank you,
[Your Name]

What Gets Deleted:

Same as Option 1 (all data permanently deleted).

Timeline:

  • Verification: We will make reasonable efforts to verify your identity and acknowledge receipt
  • Processing: Account access revoked and data deletion initiated at our discretion
  • Completion: Data permanently deleted from active databases within a reasonable period
  • Backups: Data purged from backups as part of our routine backup rotation cycle

What Happens After Deletion

Immediate Effects:

  1. Account access revoked - You can no longer log in
  2. Push notifications stop - No more message alerts
  3. WhatsApp integration disabled - Messages will not sync
  4. Team members lose access - If you own a team account, all members are affected

Data Retention Exceptions:

We may retain certain data for legal or business purposes, as allowed by law:

Data Type Retention Period Reason
Transaction records 7 years Tax and accounting compliance
Anonymized analytics Indefinite Product improvement (cannot identify you)
Legal hold data Until hold lifted Court orders, investigations
Abuse reports 1 year Prevent fraud, enforce policies

Important: Even with exceptions, personally identifiable information (PII) is removed. Only anonymized or legally required data is retained.


Data Not Deleted (Third-Party Services)

WhatsApp Messages

Messages sent via WhatsApp are stored on WhatsApp's servers, not ours. Deleting your Appening account does NOT delete messages from:

  • WhatsApp servers
  • Recipients' WhatsApp apps
  • WhatsApp Business API backups

To delete WhatsApp messages:

  • Contact Meta/WhatsApp directly: https://www.whatsapp.com/contact
  • Or delete messages manually in the WhatsApp app

Third-Party Integrations

If you connected third-party services (Google Sheets, Shopify, etc.), data synced to those services is NOT automatically deleted.

To delete data from integrations:

  • Go to the respective service (Google Sheets, Shopify, etc.)
  • Delete data manually or contact their support

Verification Process

To protect your privacy, we verify deletion requests:

For In-App/Web Deletion:

  • Password authentication required (you must be logged in)
  • Immediate processing (no additional verification)

For Email Requests:

  • We will email you at the registered account email
  • You must respond to confirm deletion
  • We may ask additional verification questions if suspicious activity detected

Identity Theft Protection:

If we suspect someone else is requesting deletion of your account without authorization, we will:

  1. Notify you at your registered email
  2. Lock your account temporarily
  3. Require additional verification (ID, phone verification, etc.)

Partial Data Deletion

If you want to delete specific data without deleting your entire account:

Delete Individual Conversations:

  1. Open the conversation in the app
  2. Tap the menu icon (⋮)
  3. Tap Delete Conversation
  4. Confirm deletion

Delete Individual Contacts:

  1. Open the contact in CRM
  2. Tap the menu icon (⋮)
  3. Tap Delete Contact
  4. Confirm deletion

Delete Templates:

  1. Go to Templates section
  2. Select the template
  3. Tap Delete

Delete Reminders:

  1. Go to Reminders
  2. Select the reminder
  3. Tap Delete

Note: Partial deletions are immediate and permanent. We cannot recover deleted conversations, contacts, or templates.


Data Export Before Deletion

We recommend exporting your data before deletion.

How to Export:

  1. Open the app or web dashboard
  2. Go to Settings → Privacy & Data
  3. Tap Export My Data
  4. Select data types to export:
    • ☑ Conversations
    • ☑ Contacts
    • ☑ Templates
    • ☑ Reminders
    • ☑ Analytics
  5. Tap Generate Export
  6. You will receive a download link via email within a reasonable period

Export Format:

  • Conversations: JSON or CSV
  • Contacts: CSV (compatible with Google Contacts, Salesforce, etc.)
  • Templates: JSON
  • Reminders: CSV (compatible with Google Calendar)

Export files are available for download for a limited period, after which they are automatically deleted.


GDPR Rights (EU Users)

If you are in the European Union, you have additional rights under GDPR:

Right to Access (Article 15)

Request a copy of all personal data we hold about you.

Right to Rectification (Article 16)

Correct inaccurate or incomplete personal data.

Right to Erasure / "Right to be Forgotten" (Article 17)

Request deletion of your personal data (this policy).

Right to Restrict Processing (Article 18)

Limit how we use your data while disputes are resolved.

Right to Data Portability (Article 20)

Receive your data in a machine-readable format and transfer to another service.

Right to Object (Article 21)

Object to certain processing of your data (e.g., marketing).

Frequently Asked Questions

Can I reactivate my account after deletion?

No. Account deletion is permanent and irreversible. You will need to create a new account if you want to use Appening Business again.

Will I receive a confirmation after deletion?

We may send a confirmation email to your registered email address once deletion is processed, but we are under no obligation to do so.

Can I delete my account if I owe money?

No. You must settle outstanding payments before account deletion. Contact billing@app-ening.com to resolve.

What if I accidentally deleted my account?

Deletion is permanent and irreversible. We do not offer data recovery services. Under no circumstances shall we be obligated to recover, restore, or provide access to any deleted data, regardless of when you contact us.

Does deleting my account cancel my subscription?

Yes. Account deletion automatically cancels all subscriptions. No refunds are provided for unused subscription time.

Will my team members' data be deleted too?

If you are the account owner: Yes, deleting your account deletes all team data.

If you are a team member: No, only your individual data is deleted. Other team members and the account owner are unaffected.
